Heirloom Document Digitisation

Frequently asked questions
Is Willowmark a legal or financial advisory firm?
No. Willowmark is an administrative and information service. We organise, catalogue and digitise documents, and we explain publicly available process information. We do not provide legal advice, act as estate administrators, interpret regulations or represent clients before any authority.
What kinds of documents does the digitisation service cover?
We work with title documents, land deeds, share certificates, membership papers, personal correspondence, photographs and similar family papers. Items are scanned at high resolution, named to a consistent convention and indexed. We do not handle passports, national identity documents or items requiring government custody.
How long does a digitisation project take?
The standard scope covers up to 700 items and runs across three to four weeks. Larger collections or collections requiring additional conservation care may take longer. We discuss scope and timeline before confirming any engagement.
Can the Process Orientation Seminar be held at our premises?
Yes. The seminar can be arranged at your office, family home, community centre or other suitable venue in the Klang Valley. We bring all printed materials and require a room that can seat up to 25 participants comfortably.
What does the Stewardship Plan include for appointment coordination?
We handle the scheduling, reminder and follow-up communications for meetings with whichever independent professionals the family engages — lawyers, accountants, valuation specialists and similar. We do not attend those meetings or advise on their content.
How are physical documents kept safe during processing?
Documents are handled with clean cotton gloves where appropriate, stored in acid-free folders during processing, and never left unsupervised. A documented chain-of-custody record accompanies each item from collection to return.
What happens at the end of a Stewardship Plan year?
We prepare a year-end summary file covering what was filed, reviewed and coordinated during the twelve months. The plan can be renewed for a further year or closed, with all physical files and digital archives returned to the family in full.
